2. DESCRIPTION OF SERVICES
2.1 Services Offered
LE BALDWIN is a private event hall located in Laval, offering the following services:

2.2 Availability
Services are offered subject to availability. Availability displayed on the Site is indicative and subject to confirmation.
We reserve the right to:
• Refuse any reservation without justification
• Limit the number of people per event according to safety standards
• Temporarily modify the Services in case of exceptional circumstances (renovations, unforeseen events, pandemic, etc.)
3. USE OF THE WEBSITE
3.1 Access to the Site
Access to the Site is free. Internet connection fees and equipment costs required to access the Site are your responsibility.
We strive to ensure: Site accessibility 24 hours a day, 7 days a week, but we cannot guarantee continuous availability.
Possible interruptions:

• Force majeure
• Cyberattacks or security issues

4.2 Reservation and Contract
Step 3 – Reservation Confirmation:
A reservation is considered confirmed only when ALL the following conditions are met:
1. ✓ Reservation contract signed by both parties (you and LE BALDWIN)
2. ✓ Deposit paid according to the terms of the contract
3. ✓ Written confirmation sent by email from LE BALDWIN
Reservation Contract:
The reservation contract specific to your event will specify:
• Date, time, and duration of the event
• Included services and additional services
• Detailed rates and payment terms
• Cancellation and modification policies
• Hall-specific rules
• Responsibilities of each party
• Insurance requirements (if applicable)
No reservation is guaranteed until these three elements are completed.
4.3 Reservation Modification
Modification Requests:
Any modification to your reservation (date, time, number of guests, services) must be requested in writing (email) and is subject to:
• Hall availability
• Written acceptance by LE BALDWIN
• Possible modification fees (as per the contract)
Deadlines:
• Major modifications (date, time): minimum [30–60] days before the event
• Minor modifications (number of guests, services): minimum [7–14] days before the event
Last-minute modifications (less than 7 days) cannot be guaranteed.
4.4 Cancellation
Cancellation policies are detailed in your specific reservation contract.
General principles:
Cancellation by the client:
• Written notification required (email with acknowledgment of receipt)
• Partial or full refund depending on the cancellation timeline (see contract)
• Cancellation fees may apply according to the contractual schedule
Cancellation by LE BALDWIN:
We reserve the right to cancel a reservation in the following cases:
• Force majeure (fire, flood, natural disaster, pandemic, government order)
• Events beyond our control making the event impossible
• Non-compliance with the Terms or contract by the client
• False information provided during booking
• Inappropriate or threatening behavior
In case of cancellation by LE BALDWIN:
• Immediate notification by phone and email
• Full refund of all amounts paid (except in case of client fault)
• Proposal of alternative dates when possible
• No additional compensation for costs incurred by the client (caterer, décor, etc.)
5. RATES AND PAYMENT
5.1 Rates

• Rates are listed in Canadian dollars (CAD)
• Rates displayed on the Site are indicative and may vary depending on your specific needs
• Final rates are those specified in your signed reservation contract
• All prices are subject to applicable taxes (GST/QST)
Rate adjustments:
• We reserve the right to modify our rates at any time
• Changes do not apply to already confirmed reservations with a signed contract
5.2 Payment Terms

6. HALL RULES AND RESPONSIBILITIES

• Leave the hall in an acceptable condition (remove waste, maintain cleanliness)

• Follow the start and end times stated in the contract
• Vacate the premises at the agreed time
• Coordinate vendor access according to authorized schedules
✓ Compliance with the law:
• Comply with all applicable laws and regulations (noise, alcohol, safety, etc.)
• Respect the municipal regulations of Laval
• Obtain all necessary permits (if applicable)
✓ Respect for neighbors:
• Maintain a reasonable noise level
• Respect quiet hours
• Manage parking appropriately
6.2 Specific Rules
Alcohol:
• Alcohol service is subject to Québec regulations (Liquor Permit Act)
• Permit required depending on the type of event
• Absolute prohibition of serving alcohol to minors
• We reserve the right to stop alcohol service in case of abuse
Smoking:
• Smoking is prohibited inside the hall (Tobacco Control Act)
• Designated smoking areas outside only
Decoration:

• Prohibited: nails, screws, adhesive tape that damages walls

Insurance:
• Event insurance is strongly recommended
• Certain events may require mandatory insurance (specified in the contract)
6.4 Responsibility of LE BALDWIN
Our commitments:
• Provide a clean hall in good condition
• Provide the equipment and services agreed upon in the contract
• Ensure regular maintenance of facilities
• Comply with applicable safety standards
Liability limitations:
LE BALDWIN cannot be held responsible for:
• Personal belongings left on site (before, during, or after the event)
• Theft or damage to personal effects
• Injuries suffered by you or your guests (except in cases of gross negligence or intentional misconduct on our part)
• Issues caused by external vendors
• Circumstances beyond our control (force majeure, utility outages, etc.)
Recommendation: We strongly encourage purchasing civil liability insurance for your event.
6.5 Inspection and Security Deposit
Before the event:

• Entry condition report possible (according to contract)
